A RESOLUTION OF THE CITY COUNCIL OF THE CITY
OF WEST COVINA AUTHORIZING THE DESTRUCTION OF
CERTAIN CITY RECORDS OF THE FINANCE DEPARTMENT.
The City Council of the City of West Covina does resolve
• as follows:
SECTION 1. The Finance Officer is hereby authorized
to destroy the following records in the Finance Department all of
which are more than five years old and are not required by law to
be kept or maintained:
(a) Cancelled demand checks and payroll checks dated
1966 or before.
(b) Demands and accompanying invoices United California
Bank and Bank of America 1959 through 1965.
(c) Requisitions 1963 through 1967.
(d) Depository receipts 1964 through 1967, work sheets
on deposits 1967 through 1968, summary of cash deposits 1966 through
1968, treasury report of deposits 1967 through 1968, summary sheets
of cash received 1967 through 1968 including cash summary receipts
1960 through 1967.
(e) General files consisting of quarterly budget reports
prior to 1967, W-2 forms 1960 through 1962, copies of demands through
1961, bank statements 1962 through 1965, deposit receipts, approval
of demands, summary cash deposits, treasurer's reports and City
• Council affidavits all prior to 1968.
(f) Ledger books and cards consisting of payroll ledger
books 1943 through 1963, ledger book 1954 through 1956, machine
journal register sheets 1962 through 1964, expenditure ledger books
1959 through 1964 and general ledger book revenues 1963 through
1964.
(g) Miscellaneous records consisting of letter files
1953 through 1961, street costs 1958 through 1962, demand registers
1956 through 1964, employee earning record cards prior to 1966,
terminated record cards prior to 1966, time reports 1964 through
1967, cash books 1963 through 1966, bids 1964 and 1965, journal
vouchers 1963 through 1964, miscellaneous cash receipts 1964 and
1965, cash summary reports 1966 through 1967, dog licenses 1966
through 1970, payroll authorization cards through 1967, employee
sick leave and vacation reports through 1967.
SECTION 2. The City Clerk shall.certify to the adoption
of this resolution.
