Resolution - 3512w r RESOLUTION N0. 3512 A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF WEST COVINA APPROVING THE DESTRUCTION OF CERTAIN CITY RECORDS, DOCUMENTS, INSTRUMENTS, BOOKS AND PAPERS IN THE FINANCE DEPARTMENT BY THE CITY CONTROLLER. The City Council of the City of West Covina does resolve as follows: SECTION 1. Subject to the written consent of the City Attorney, the City Council does hereby approve the destruction by the City Controller of the following City records, documents, instruments, books and papers under his charge, without making any copy thereof, upon the grounds that the same are no longer required, to wit: 1. Memo Working Records to be Destroyed: A. Monthly Budget Reports prior to 7-1-59• B. Reconciliation of bank statements prior to 7-1-59. C. File copies of purchase orders issued prior to 7-1-59. D. Triplicate copies of Demand Warrant/checks issued prior to 7-1-59 E. Forms filed by employees authorizing deductions from salaries for Community Fund and Group Medical and similar purposes not in force since 7-1-59. 2. Office Records to Be Destroyed: A. Demand Warrants (copies of the warrants that have attached a copy of the purchase order, the original invoice, and receiving ticket) issued prior to 7-1-59. B. Cancelled payroll checks issued prior to 7-1-59. C. Canceled Demand Checks issued prior to 7-1-59• D. Bank Statements issued prior to 7-1-59• E. Payroll Attendance Reports for work periods prior to 7-1-59. F. Receipts issued prior to 7-1-59. SECTION 2. The City Clerk shall certify to the adoption of this resolution and transmit a certified copy thereof to the City Controller.
